What we collect, and where it comes from

If you order from us on a marketplace

Most of our sales are through marketplaces including eBay, Etsy, Amazon and our own Shopify stores. When you buy from us there, the marketplace passes us the details we need to send your order:

  • Your name and delivery address
  • The marketplace's order reference and what you bought
  • A contact email address, usually one the marketplace provides rather than your own
  • Any message or personalisation you asked us to include with a gift

We do not receive or store your payment card details. Payment is handled entirely by the marketplace.

If you contact us

If you email us or use a contact form, we hold what you send us — your name, contact details and the content of your enquiry — so we can answer it.

If you are a supplier or business contact

We hold business contact details for the people we buy from and work with: names, work email addresses and telephone numbers, and a record of what was ordered.

If you visit this website

This site uses cookies and similar technologies that are necessary for it to work, and loads some resources from third parties such as font and icon providers. Where we use anything beyond what is strictly necessary, we ask for your consent first.

Why we hold it

Why Our lawful basis
Picking, packing and delivering your order, and dealing with returns Performance of a contract
Keeping accounting and VAT records Legal obligation
Answering enquiries, managing supplier relationships, and preventing fraud Legitimate interests
Non-essential cookies and any marketing email Consent, which you can withdraw at any time

Who we share it with

We share personal data only where we need to, and only as much as is needed:

  • Delivery. Royal Mail and other carriers receive the delivery name and address so your parcel can reach you.
  • Marketplaces. eBay, Etsy, Amazon and Shopify already hold your order and receive despatch and tracking information back from us.
  • Our software and hosting providers. They process data on our behalf, under contract, and cannot use it for their own purposes.
  • Our accountants and HMRC, for tax and statutory reporting.

We do not sell personal data, and we do not share it for anyone else's marketing.

How long we keep it

  • Order and transaction records: six years after the end of the relevant financial year, which is what tax law requires of us.
  • Gift messages and personalisation text: kept only as long as needed to fulfil the order, then deleted.
  • Enquiries: up to two years after the matter is closed.
  • Supplier and business contacts: for as long as we work together, and then for six years.

Where it is held

Our systems are hosted in the United Kingdom. Some of the marketplaces and service providers we work with operate internationally, and where personal data is transferred outside the UK it is protected by UK adequacy regulations or by standard contractual clauses.

Your rights

Under UK data protection law you can ask us to:

  • Give you a copy of the personal data we hold about you
  • Correct anything that is wrong
  • Delete it, where we are not required to keep it
  • Restrict or object to how we use it
  • Provide it in a portable format, or send it to someone else
  • Withdraw consent, where consent is what we relied on

Email hello@hyland2000.co.uk and we will respond within one month. There is no charge.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Changes to this policy

If we change how we handle personal data we will update this page and the date at the top of it.
